POSITION SUMMARY:    

This position will perform the role of Human Resources Assistant by completing HR processes such as recruitment, onboarding, record management, employee engagement and employee maintenance.  As the Foundation coordinator the individual will coordinate fundraising efforts, manage donor relationships and volunteer activities and maintain a strong community outreach.  Both positions require strong organizational skills and attention to detail, discretion with confidential information, excellent communication skills and customer service.

ESSENTIAL JOB FUNCTIONS:

Human Resources Assistant Responsibilities

  • Assist with recruitment activities, including posting positions, scheduling interviews, and communicating with candidates.
  • Support onboarding, offboarding and orientation for new employees.
  • Maintain employee personnel files and ensure compliance with record retention requirements.
  • Assist with HRIS data entry and employee record updates.
  • Coordinate employee recognition, engagement, and wellness activities.
  • Track required training, certifications, and compliance requirements.
  • Assist with benefits enrollment, employee inquiries, and open enrollment activities.
  • Prepare employment-related documents, reports, and correspondence.
  • Support payroll processing by maintaining accurate employee information and tracking time-off requests.
  • Maintain confidentiality of all employee information.
  • Provide administrative support to HR leadership and department initiatives.
  • Act as the point of contact among executives for employees, patients, and other external partners.
  • Attends facility meetings to include but not limited to board of trustee, leadership, quality, compliance and MedStaff meetings. Records, types, and distributes meeting minutes as requested by executive members.
  • Answers and routes phone calls, mail and e-mail messages and may handle wide-range information dissemination.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.

Foundation Coordinator Responsibilities

  • Coordinate foundation events, fundraising campaigns, donor recognition programs, and community outreach activities.
  • Maintain donor records and manage foundation databases.
  • Prepare donation acknowledgment letters and receipts.
  • Assist with grant applications, reporting, and stewardship activities.
  • Coordinate volunteer recruitment, scheduling, and engagement efforts.
  • Support marketing and communication efforts related to foundation programs and events.
  • Build and maintain positive relationships with donors, community partners, and stakeholders.
  • Assist in tracking fundraising goals, budgets, and event outcomes.
  • Prepare reports and presentations regarding foundation activities and achievements.
  • Ensure compliance with foundation policies and applicable regulations.
  • Manage foundation meetings for the Foundation Board

MINIMUM QUALIFICATION STANDARDS:

Education:       Associate's degree in Human Resources, Business Administration, Communications, or related field preferred.  Equivalent combination of education and experience may be considered.

Licensure:        None required.

Work Experience:       One to three years of administrative, human resources, nonprofit, or fundraising experience preferred.

Experience working with databases, HRIS systems, or donor management software is beneficial.

Employment is contingent upon successful completion of background screening as required by policy/law, including verification that the individual is not excluded from participation in federally funded healthcare programs (e.g. OIG/BSA exclusion list).
